Description
The Executive Assistant (EA) is a senior, high-trust partner to the CFO and broader Executive team. This role provides proactive, strategic administrative and operational support to ensure alignment, efficiency, and execution at the highest level of the organization.

This position will play a key role in supporting the company’s ongoing fundraising activities, requiring strong organizational skills, attention to detail, and a very high level of discretion and trust, as the role involves direct exposure to highly confidential information, strategic discussions, and sensitive investor interactions.

Key Responsibilities

1. Executive & Agenda Management
  • Own and manage complex calendars for the CFO, CTO and COO
  • Prioritize and coordinate competing demands, ensuring strategic time allocation
  • Coordinate agendas aligned with company priorities, including fundraising activities
  • Prepare meeting logistics and ensure seamless scheduling across stakeholders (including investors and advisors)
  • Support follow-ups and action tracking after key meetings
  • Collaborate closely with the CEO’s Executive Assistant to ensure alignment and seamless coordination of calendars, meetings, and priorities across the Executive team
2. Travel & Logistics Management
  • Organize business travel (flights, hotels, ground transport, visas when needed) to the executive team
  • Prepare detailed itineraries and contingency plans
  • Coordinate logistics for executive events, including investor meetings, roadshows, and conferences
  • Coordinate travel arrangements in alignment with the CEO’s Executive Assistant when schedules overlap, ensuring efficiency and consistency across the Executive team
3. Operational Support & Execution
  • Work in close partnership with the CEO’s Executive Assistant to ensure smooth communication, coordination, and execution of cross-functional activities involving the Executive team
  • Provide hands-on operational support to the CFO, with a strong focus on fundraising and investor engagement processes
  • Maintain and continuously update the investor CRM / contact tracking system, ensuring accurate and up-to-date information on interactions, status, and next steps
  • Support the coordination of investor outreach, meeting scheduling, and follow-ups across multiple stakeholders (investors, advisors, internal team)
  • Assist in managing the flow of information and materials related to the fundraising process (presentations, documents, data room coordination, etc.)
  • Track deadlines, action items, and key deliverables across the fundraising workstream, ensuring timely execution and follow-through
  • Anticipate needs and proactively resolve operational bottlenecks in a fast-moving environment
  • Handle highly sensitive information with strict confidentiality
  • Maintain absolute discretion in all matters, including financial data, strategic decisions, and investor-related discussions
Requirements
  • 7+ years of experience supporting C-level executives
  • Experience in fast-paced or high-growth environments preferred
  • Strong team player with a collaborative mindset and ability to build effective working relationships across executive support roles
  • Prior exposure to finance, fundraising, or investor environments is a strong plus
  • Exceptional organizational and prioritization skills
  • High emotional intelligence and strong judgment
  • Proven ability to handle highly confidential information with discretion and professionalism
  • Ability to manage ambiguity and shifting priorities
  • Absolute discretion and professionalism
  • Strong written and verbal communication skills
  • Fluency in English and Spanish (minimum C1 level required for both)
  • Native-level Spanish is highly desirable
  • Catalan is a plus
